Employee Monitoring Notice
A template notice for clients using workforce and operational monitoring, and the principles behind it.
Purpose
Workforce and operational monitoring observes work areas to confirm procedures, safety, attendance and service standards. It is disclosed to employees, limited to work areas, and reported in factual language.
What is observed
Entrances, sales floors, counters, stockrooms, docks, kitchens, production areas and other work areas covered by existing cameras, during agreed hours.
What is not observed
Restrooms, changing rooms, lactation rooms, break areas designated private, and any area where a reasonable expectation of privacy applies. No audio is monitored for workforce observation. No facial recognition is used.
How observations are used
Reports go to the employer's designated managers. Virtual Sites Security does not make employment decisions. Employees may request to see observations concerning them through their employer.
Template notice
"[Company] uses remote video observation of work areas, provided by Virtual Sites Security, to support safety, security and operational standards. Monitoring covers work areas only and excludes private areas. Observations are reported to [Company] management. Questions: [manager contact]." Post at employee entrances and include in onboarding.
Legal note
California permits video monitoring of non-private workplace areas with notice. Clients are responsible for providing notice and for compliance with applicable employment and privacy law; this template is a starting point, not legal advice.
